Terms and Conditions


The Terms and Conditions below, when signed, bind you and anyone else in attendance, into agreement with them, when using any facilities on Woodlands Farm Premises.


PLEASE READ CAREFULLY AND SIGN THE TERMS AND CONDITIONS AT THE BOTTOM OF THE PAGE


Liability

• No responsibility will be taken by the land owners for damage or injury sustained to property, individuals or animals whilst using any of the facilities or anywhere on the Woodlands Farm premises. Use of the dog 'obstacles' is entirely at your own risk.

• Parking must be in the advised parking areas. All vehicles are left entirely at their owners’ risk and the land owners accept no responsibility for any loss or damage incurred, accident or otherwise, whilst they are on Woodlands Farm premises. 'No Parking’ on any grassed areas unless advised to do so.

• Any breakages or damage caused whilst on the premises of Woodlands Farm must be paid for by the hirer.

• We recommend that all dog(s) using Woodlands Farm are up-to-date with their inoculations. We recommend that your dog(s) are immunised and wormed. Please do not bring your dog(s) when they are ill. Please do not bring your dog(s) if they are coughing.

• We recommend that all dog(s) using Woodlands Farm use tick prevention due to the large area of natural woodland.

• If any dog(s) that you are responsible for are not insured for 3rd party liability, please be aware that you will be personally liable for any accidents or injuries that the dog may cause, just as if you would be if it occurred in a public place.

• Woodlands Farm Dog Fields & Wiggly Woods are situated on a farm and as such there could be natural and agricultural hazards. Hazards you may encounter could include, but are not limited to; moving tractors and other agricultural machinery, nails, glass, wood, wire, uneven ground, unmown meadow grasses which are left to seed, wild mushrooms, woodchip, fallen trees/branches, rabbit and other animal burrows, biting insects and thorns. Prevailing weather conditions could result in additional hazards, including but not limited to; mud and surface water. When using Wiggly Woods there could be additional hazards,  which may include, but not limited to; brambles, dense vegetation, ditches (these may contain water/mud), hidden tree stumps, low protruding branches, fallen trees, cut wood piles and brash. Woodlands by nature can be dangerous places and may cause injury to yourself or dogs, individuals using the facilities will take full responsibility for themselves and their dogs as if they were walking in any public place. Woodlands Farm will not be liable for any injury or accident resulting from any natural or agricultural hazards located on the premises.

• The area is natural farmland and young woodland with varying and undulating terrain. Appropriate footwear is required at all times (It is not Hyde Park - flipflops and sandals are not appropriate).

• The behaviour, safety and welfare of all dogs using Woodlands Farm is entirely the owner’s/handler’s responsibility, just as it would be in a public place.

• The owners of Woodlands Farm do not organise, and are not liable for any gatherings or events on the premises unless otherwise stated, nor will they be held liable for any incidents, accidents or injuries that may occur on the premises. Hirers use Woodlands Farm facilities entirely at their own risk, please ensure dogs and children are supervised at all times.

• A first aid kit is located in the workshop next to the car park.


Usage

• Woodlands Farm Dog Fields facilities are for ‘Private Use’ only i.e. members of the same household, family and friends. Any other use, including 'business' activities, must be agreed by Woodlands Farm and confirmed in writing prior to arrival.

• Maximum online booking in one day is 2hrs 15mins. Call me prior to booking if more time is required.


Dangerous Dogs Act (DDA) / Banned Breeds / Control Orders / CPN

(Owners of any dogs with a Control Order / CPN - must contact Woodlands Farm Dog Fields prior to making a booking)

• Owners of any dogs listed under the DDA must contact Woodlands Farm Dog Fields directly prior to making a booking, the following restrictions will apply in line with our policies, insurance and DEFRA requirements:

  • The dog is registered with the index of exempted dog (IED) and a copy of the life certificate must be sent to Woodlands Farm Dog Fields prior to making a booking..
  • A copy of the public liability insurance certificate for the dog must be sent to Woodlands Farm Dog Fields prior to making a booking.
  • The dog handler ratio is 1:1 with their handler at all times
  • The dog is Neutered - in line with Government rules
  • The dog is Microchipped
  • It is the handlers responsibility to check the fencing is adequate and secure so the dog can not escape
  • The dog is kept on a lead and muzzled until the gate is shut and locked when entering the field
  • Once locked inside the booked area the lead and muzzle may be removed
  • The dog is put back on a lead and muzzled before unlocking and opening the gate to leave the field
  • The handler must be over 18 and be part of the same household/reside at the same address as the registered dog

Households which own more than one dog can come to the field together as long as they have an additional handler for any non-banned dogs. All dogs leads and muzzles can be removed once in the field including the banned breed dog. If there is more than one banned breed in the household they can come together but each banned dog must have its own handler.

  • Bookings which include a banned breed will be restricted to a maximum of 4 dogs from the same household
  • NO shared bookings with dogs or people from other households
  • Do not arrive early - entry will not be permitted until your start time
  • All dogs must remain on a lead (plus banned breeds muzzled) whilst transferring between the car and the booked area.
  • The car park must be vacated by the end of your booked time to ensure there is no cross over of visitors.
  • You will be met on arrival. Prior to entering the carpark all visitors will need to 'Sign in'. You will then be provided with a unique code to lock yourselves into the enclosed area. (New visitors will be briefed on arrival during which time all dogs are to remain inside their vehicle)
  • Before making a booking you will be asked to provide the relevant documentation and sign a declaration that you have read, understood and will adhere to our T&C's which include the additional conditions stated above.
  • Bookings will be cancelled if the above guidelines are not adhered to.
  • We reserve the right to refuse entry or request that you vacate Woodlands Farm premises should we feel that the above conditions are not adhered to.

Code of Ethics

• Harsh handling of dogs, either verbal or physical is not allowed.

• Choke chains, prong collars and electronic devices are not allowed.

• Persistent, continuous barking will not be tolerated.

• We reserve the right to request you vacate Woodlands Farm premises at any given time.


Booking Arrangements

• Bookings are made online directly via the website.

• Bookings are valid for 8 months from original booking date.

• Bookings can be made up to 4 months in advance (120 days)

 The person making the booking must be present and must ensure that anyone else attending is made aware of, and adheres to the Terms and Conditions. By bringing friends or family, the hirer agrees to take full responsibility for their safety and ensure that they abide by the Terms and Conditions at all times whilst on the premises and while using the facilities.

• Bookings are not transferable to any other person.

 Owners of dogs listed on the DDA or with a Control Order must contact Woodlands Farm Dog Fields directly prior to making an online booking.

Online Booking Limitations:

• Maximum 2 cars / 8 dogs - More than 8 dogs are permitted but you MUST contact me prior to booking.

• Maximum online booking in one day is 2hrs 15mins. Call me prior to booking if more time is required.


Payment

• Payments are taken at the time of booking by debit/credit card. We use 'Stripe' to process these payments. Privacy and Data information can be seen here https://stripe.com/gb/privacy


Cancellation Policy

It is the 'bookers' responsibility to manage their bookings and reschedule/cancel within the time limits stated. 

You can reschedule/cancel your booking from your original email confirmation or by logging into your account. 

No reschedules or refunds are available outside of the time frames stated below:

Rescheduling Appointments

1 hr booking: 48 hours (2 days) before booked date/time

2 hr 15min booking: 72 hours (3 days) before booked date/time

Cancellations / Refunds

All refunds will be subject to a % deduction for card charges /administration fees.

1 hr booking: 

Notice given 48hrs – 72hrs (2 – 3 days) Refund = 80% of booking cost

Over 3 days: Refund = 90% of booking cost

2 hr 15min or more:

Notice given 72hrs – 120hrs (3 – 5days) Refund = 80% of booking cost

Over 5 days: Refund = 90% of booking cost

Reschedules must be used within the 8 month usage limit of your booking.


- Bookings are valid for 8 months from the date of the original booking, if you have not requested a cancellation for any unusable bookings before this time then your booking/s will expire and NO refund will be given.

- If you reschedule your booking to a date beyond the 8 months expiry time, your booking will be cancelled and NO refund will be given.

- If no dates are available within the 8 month period to reschedule your booking to, then you will need to cancel it and a refund will be provided if requested within the above time scales..

- Calendar bookings are open up to 120 days (4 months) ahead.


• If Woodlands Farm needs to cancel a booking you have made, 24 hours notice will be given wherever possible.


Entering/Leaving

• Please try not to arrive any earlier than 5 minutes before your session start time. If you do arrive early, you agree to park your vehicle in the carport area and remain in your vehicle. Do not to enter through the main gate until a few minute prior to your booked time, regardless if the previous booking has left.

• At no point should you ask the previous booking to leave the gate open for you, there should be a clear gap between bookings during which time the gate MUST remain closed.

• Once you have entered the site, close the metal entrance gate. To display the 'Occupied' sign, open the wooden gate and close it onto the main gate, securing with the clip. Attach the clip behind the sign on the main gate ensuring that no-one can open it from the other side.

• Dogs must be kept on leads at all times when transferring from and to your car until you are within your booked area.

• NO dogs to be left unattended in vehicles, if they cannot join you on the walk, then please leave them at home.

• The hirer must inspect all areas/equipment prior to use to ensure that it is suitable for use by their dog(s).

• All areas must be vacated and dogs loaded into your vehicle by the end of your booked session. You have a couple of minutes to leave, DO NOT leave the main gate open, regardless if requested to do so by the next booking.

• If your fail to leave on time and this impedes the following booking then you will be liable to cover the cost of refunding those affected.

• The 15 minute break is not free time. Anyone entering early or leaving later than requested above will result in future bookings being cancelled. The break is there for  a reason, ensuring there is no cross over of dogs or cars.

• If the hirer arrives late, the booking cannot be extended.

• First Time visit - Running Late? Call me, otherwise after 15 minutes the gate will be locked and your booking classed as a 'No Show'.

• Gates open at 9.10am and close at 19.05pm

 

Gates - Countryside Code

• GATES - Please close all gates, including those on the Woodland Walk between fields and into the woodland area.

• Please do not disturb any wood or brash piles these have been purposefully left for wildlife and insects.

• No fires or BBQ's permitted anywhere within Woodlands Farm premises, unless by prior written agreement.

• Leave NO trace  - Take it home (or use the bins provided)


Maintenance

• The hirer must bring their own poo bags and remove ALL dogs waste. Numerous bins are provided in secure areas and around the premises, it is a strict requirement that you must pick up after your dog(s). There are spare poo bags (in case they are forgotten only). 

• Taps are located in all secure areas, as well as around the grounds, along with a designated wash down area.

• No litter is to be left on Woodlands Farm premises as this presents a risk to users and their dogs. Please use the bins provided.

• We inspect Woodlands Farm facilities and perimeters daily to maintain security but please notify us on 07739 423 998 if you have any concerns.

• We do not take any responsibility for any dog escaping from any facility on Woodlands Farm premises.

• Fun Field is grass and woodchip. Wiggly Woods has grass tracks which have naturally uneven surfaces, as well as fallen trees/branches, wood piles and chippings, tree stumps, animal burrows, bramble, thorns, low protruding branches, dense vegetation, unmown meadow grasses and trees. Appropriate footwear is required in all areas.


Humans! - Children & Adults

• Children are welcome at Woodlands Farm but must be supervised by an adult at all times.

• Obstacles, jumps, tyres, ramps etc., are designed and built to be used by dogs only. Please do not allow children or adults to climb on or use them. 

• Woodlands Farm will not take any responsibility for any injury to humans or animals caused by using said equipment.

• A first aid kit is located in the workshop next to the car park.


Data/Privacy Policy

• We only retain your contact details in the event of having to contact you regarding your booking. The information is not used for any other purpose or shared to any other parties.

• Please be aware that CCTV is in operation on Woodlands Farm premises.

• Your email address is requested to provide you with booking and payment confirmations.

• You can request for your data to be erased. This would need to be put in writing to Yvonne Foxon at: woodlandsfarmdogs@gmail.com


GPS Tracker Hire

• 'Tractive' trackers can be hired from Woodlands Farm with a refundable deposit. The hirer must notify us prior to arrival to enable us to share the app. The deposit will be returned to you at the end of your session once the tracker is returned to us.

• Woodlands Farm will not be held responsible should the tracker fail or show inaccurate readings due to satellite coverage.

• Should the hirer lose or damage the tracker they will be required to cover the cost of a replacement.


Updates

• We may need to vary these terms and conditions from time to time. By making a booking, you agree to abide by the terms and conditions on Woodlands Farm Dog Fields website on the date of your booking.

- It is your responsibility to read our terms and conditions prior to every booking


- We reserve the right to request you vacate Woodlands Farm premises at any given time should our Terms & Conditions not be adhered to and cancel/refund any future bookings
